Why Grouping Facts Into Categories Matters

Imagine listing 15 facts about ocean ecosystems in random order. A reader would struggle to follow your thinking. When you organize facts into broader categories—such as Predators, Prey, and Environmental Threats—the reader immediately understands how ideas connect. Grouping creates meaning. It tells readers: "these facts belong together because they explain the same aspect of the topic." Without categories, information feels scattered and hard to remember. With categories, information builds understanding. This is especially important in explanatory and informative writing, where your job is to make complex information accessible. Sorting facts into categories also forces you to think deeply about your topic: What are the main ideas? What details support each idea? How do my facts relate to one another? This thinking process strengthens your own understanding before you ever write a sentence.

How to Sort Facts Into Broader Categories

Start by listing all the facts you have about your topic. Then ask: What is each fact about? Group facts that answer the same question or address the same aspect of your topic. For example, if your topic is "Types of Renewable Energy," you might group facts about solar power together, facts about wind power together, and facts about hydroelectric power together. Each group addresses "What are the characteristics and uses of [this energy source]?" Next, look at your groups. Can some of these groups be combined into a broader category? If you have groups for Solar Power, Wind Power, and Hydroelectric Power, those three can all fit under the broader category Energy Sources. You might also have separate groups about Environmental Benefits and Economic Costs—these address different aspects of renewable energy. The broader categories should all answer the same main question about your topic. Don't mix apples and oranges: one category should not be "Types of Energy" while another is "Color of Equipment." Keep your categories at roughly the same level of generality.

Ordering Your Categories Logically

Once you have your categories, you need to decide their order. This is not random. The order should make sense to your reader and reflect the logic of your explanation. When you use headings, readers do not have to guess what your paragraphs are about—they know immediately. For instance, instead of writing three long paragraphs about renewable energy with no breaks, you could use headings like Solar Power, Wind Power, and Hydroelectric Power. Or if those are subcategories, your broader headings might be Energy Sources and Environmental Benefits. Headings should be clear and specific. A heading like "Details" tells readers almost nothing. A heading like "How Solar Panels Convert Sunlight into Electricity" is much more useful. Avoid headings that are too long or too vague. Aim for 3–8 words that tell readers exactly what information they will find in that section.

When and How to Use Tables

A table organizes information into rows and columns, making it easy to compare facts side by side. Use a table when your categories have the same types of information and you want readers to compare them directly. For example, a table comparing types of renewable energy might have rows for Solar Power, Wind Power, and Hydroelectric Power, with columns for How It Works, Environmental Impact, and Cost. This layout lets readers see all the information about each energy source at a glance and spot similarities and differences quickly. A table is better than paragraphs when: you have multiple categories with parallel information, you want readers to compare across categories, or the exact numbers or details matter more than flowing narrative. A table is not always better—if you are telling a story or explaining a process, headings and paragraph breaks work better than a table. Choose based on your purpose and your reader's needs. When you do use a table, make sure each column has a clear header, each row is labeled clearly, and the information in each cell is accurate and consistent.

Sort these facts into broader categories, order your categories logically, and explain where you would use a heading or a table.
First, identify what each fact is about. Some facts describe where animals live: jaguars hunt at night (night hunters, forest floor level), monkeys live high in the trees (canopy), poison dart frogs are brightly colored (they can live at different levels but are associated with the forest floor). Use headings like The Three Rainforest Layers, Where Rainforest Animals Live, and Plants of the Rainforest to signal each section. For the animals section, you might use a simple table with rows for jaguars, monkeys, anacondas, poison dart frogs, and parrots, and columns for Where It Lives, What It Eats, and Activity Pattern. This lets readers compare animals across habitats in one view.

What is the difference between a category and a subcategory?
A category is a group of related facts about your topic. A subcategory is a smaller group that fits inside a broader category. For example, if your topic is animals, Predators and Herbivores are categories based on diet. Under Predators, you might have subcategories like Big Cats, Birds of Prey, and Reptiles. The subcategories are more specific divisions of the main categories.
How do I know if I have too many categories or too few?
Too many categories (more than 5 or 6) can overwhelm readers and make your writing feel scattered. Too few categories (just 1 or 2) might lump together facts that should stay separate. A good rule: each category should contain at least 2–3 related facts. If a category has only one fact, it probably belongs with another category.
